Building automations

The Automation Builder lets you create trigger-based workflows — for example, "When a new client books" or "Client hasn't booked in N days" — that automatically send an SMS, email, or task. Build them from Automations → New Automation, choose a trigger, add actions, and turn it on.

Common triggers include: after an appointment is completed, when a new client books, when a client hasn't booked in a set number of days, after a 5-star review, after a client's 3rd booking, and after a referral link is clicked. Any automation can be paused or edited later without losing its history.

Sales pipeline & lead management

The Pipeline view tracks leads and clients through custom deal stages (e.g., New Lead → Contacted → Booked → Won) with drag-and-drop cards. Go to Pipeline → Manage Stages to add, rename, reorder, or delete stages to match how your business actually moves leads through the funnel.

Lead Scoring assigns a score to each contact based on engagement signals like response rate, booking history, and source quality — use "Rescore All" after changing your scoring rules. The Prospecting tool helps you log new leads from any source (manual entry, social media, cold outreach, referrals) before they become full client records.

Organizing your client list

Segments are static or rule-based groupings of clients (e.g., "VIP clients" or "Zip code 90210") you can target with campaigns. Smart Lists use live filters (e.g., health score below 70% and last visit over 60 days ago) that automatically update as client data changes.

If your list has grown messy, open the Duplicates panel and click "Scan for Duplicates" — MsgHealth flags likely matches by confidence level and lets you merge or dismiss each one. Tasks let you assign follow-ups to your team, and Client Notes keep private context on file that's never sent to the client.

Win-back & seasonal marketing

Use the Reactivation panel to send win-back campaigns to clients who haven't booked recently — templates include limited-time offers and free add-on incentives, and campaigns can trigger automatically when a client's health score drops below a threshold.

Birthday Campaigns send a personalized SMS (optionally with a discount code) on each client's birthday, and Seasonal Campaigns include ready-made templates for holidays like Valentine's Day, Mother's Day, and Memorial Day. Recommendation Automations can also suggest upsells automatically — for example, offering a complementary service right after a 5-star review.
